Automation Rules

Using Automation Rules in Pardot allows us to do some processes or actions in a faster and easier way. Automation Rules are used to apply specific actions (specified in the rule) to a group of prospects that match the rule criteria and continually check for updated prospects. Some activities that can cause changes in the prospect information are:


  • When an email is sent to a prospect

  • When a prospect submits a form

  • When the Information is synced from Salesforce


Even if your database is huge, automation rules can help you to get the best out of Pardot. Keep in mind to always preview before running an automation rule, this allows you to identify the prospects that matched the criteria and gives you the chance to double-check that everything is correct in the rule. If you identify errors, start checking the rule logic, since it sometimes can be confusing at first.


An excellent practice is to check your automation rules constantly to remove the ones that you no longer use/need. Remember, that the system resources consumed are related to how many automation rules you have and how often you run those automations.


There are different types of rules filter views:

    • All Automation Rules: Includes all the automation rules created

    • Live Automation: the rule has been resumed and it is active

    • Real Time Automations: if this checkbox is selected and the prospect matches this rule, the automation rule will run before some of the form completion actions run

    • Repeating Automation: if you select this type of rule, once you create it, the rule will go through all your prospects database and find the ones that match the criteria and you can set up how often it will go through your database again. Take into account that if you edit the criteria of the rule, it will not retroactively unmatch prospects.

    • Keep in mind that if the days you set up for the rule have not passed, the prospect that matches the criteria more than once during that time will be ignored. Also, you can decide the limit of matches for the rule.

    • Paused Automation: the rules have not been resumed and are not active

    • Inactive Automation: are the rules that have non-activity in the last 30 days, also you can get a monthly email report of them

Also, you can use automation rules to have different outcomes:


  • Customize autoresponder emails

  • Customize lead scoring

  • Segment prospects based on field values


Finally, keep in mind that once a rule is created and resumed you can delete the rule, but the actions taken cannot be undone and there is a limit on how many Automation Rules you can have in place. You can check this info in your Account Settings’ “Usage and Limits” section.
